Who we are

What we collect

We collect your name, date of birth, gender, nationalities, contact details, returning-crew answer, sailing choices, company details, how you heard about us, notes and consent decisions. Each consent decision is stored with its date and the wording version. Please do not put another person's private or medical information in your notes.

Why we use it

We use these details to review your sign-on, arrange your berth, contact you, prepare a safe voyage and meet applicable port and customs requirements. Health information supplied later is used with your explicit consent for fitness-to-sail assessment, safety planning and emergency response. News is sent only if you actively opt in. Your separate image choice controls use of identifiable photos and video.

Who sees it

Sign-on records are not public. Access is restricted to the authorised skipper administrator. Relevant details may be provided to port and customs authorities when required. Emergency-relevant health information kept on board is available only to the skipper and watch leaders. Our hosting and storage provider processes records to operate the service.

How long we keep it

Proposed approach for review: keep sign-on details only as long as needed to handle the application, operate the voyage and meet applicable record-keeping duties. Review records after that purpose ends and remove details no longer needed. A specific retention schedule, and any mandatory periods, must be confirmed by Warrior BV before this notice is final.

Your choices and rights

Write to willem@sailwarrior.com to request access, correction or removal, or to ask us to limit use of your details. You can withdraw health consent, change your image choice or stop news emails at any time. Withdrawing health consent may mean we cannot take you sailing safely. We will remove images where we reasonably can. Some records may need to be retained to meet legal duties; we will explain any such limit when responding to you. You can also raise a concern with the relevant data-protection authority.

Abuse prevention

For sign-on abuse prevention, we keep a one-way keyed hash of your internet address and a short-lived hourly attempt counter. The raw address is not stored in sign-on records. These counters expire from active use after two hours and are removed when the next sign-on attempt is processed.
